How to Split and Rename Audit PDFs into Annexures for MCA Filings

Chartered Accountants and company secretaries spend a significant portion of their compliance calendar preparing attachments for filings on the Ministry of Corporate Affairs (MCA) portal. Bulky documents like audited financial statements, director reports, and board resolutions must be attached to forms like AOC-4, MGT-7, and Form DPT-3.

However, the MCA v3 portal enforces strict file size limits (typically capped at 2MB or 6MB depending on the specific form). Uploading files exceeding these limits leads to submission failures, system timeouts, or error warnings.

This guide explains how to split files within the limit, rename them sequentially, and stamp annexure labels securely.

1. The Problem with Online PDF Tools

When CAs need to split a 15MB audit report, they often upload it to popular online converters. However, financial records contain highly confidential data: board resolutions, bank statements, client names, and PAN cards.

Uploading these files violates confidentiality agreements and compromises data security. If the file is stored on a remote server, it is vulnerable to breaches.

Audit Apply runs entirely in your browser. All calculations, compression, and splits are computed locally on your device. No files are ever uploaded to any server, keeping client data private.

2. Step-by-Step Guide to Splitting by File Size

To split a document so it complies with size restrictions:

  1. Go to the Split & Rename tool inside the Audit Apply dashboard.
  2. Drag and drop your PDF file. The tool will parse the page count locally.
  3. Select the Split by Size option.
  4. Enter your target limit (e.g. 2000 KB or 2MB).
  5. Click Split PDF. The system will calculate how many pages fit into each 2MB chunk and generate a ZIP archive containing the split files.

3. Stamping Annexure Labels on PDF Pages

When submitting multiple files, portals require clear labeling so the officer can review attachments easily. You can stamp labels (e.g., "Annexure A", "Annexure B") onto the files:

  1. Select the Bulk Annexure Stamper tool.
  2. Add the split PDFs in order.
  3. In the config panel, choose the label style (e.g., prefix text, position, font size, color).
  4. Click Process and Stamp. The tool uses local script engines to overlay text on the top right or bottom center of each page and compiles the output.

This simple step-by-step workflow saves hours of manual work, helping you file returns on the MCA portal quickly and securely.
